Software Features

Concerto facilitates high quality customer service to the End-User and puts the emphasis back on the quality of temporary workers. It gives End-Users one single, accountable point of contact and reduced administrative duties with consolidated billing and electronic timesheet.

Coming from the Back Office stable with their reputation for the highest quality, it majors on peerless attention to detail and accuracy monitors to help facilitate a “right-first-time” data flow. Moreover, it has been designed to maximise flexibility and allow significant customisation/tailoring as part of the set-up options, rather than a one-size fits all.

Concerto offers simple vacancy management with the ability to access multiple 2nd tier agencies instantly. Vacancies can be distributed to multiple agencies simultaneously (and agencies can be set up on a tiered basis to allow for ‘preferred agencies’ to get a ‘head start’ on candidate submissions etc.).

All Candidates, from multiple agencies, can be managed together from one screen. They can be shortlisted, and interviews can be scheduled from within the system (where appropriate). Alternatively, under different usages, they can simply be booked. Automatic advices are then triggered to the associated parties to communicate the live situation.

Concerto’s high visibility enables all users to track timesheets throughout their whole “life cycle” (e.g. when it is has been approved, invoiced and ultimately when payments are received). The timesheet (and invoice) approval steps are “open” and transparent to all parties, so 2nd tiers can see the progression of their timesheet – without the cloak of secrecy that is common in many competitor systems.

Whilst the lead agency will produce a weekly consolidated electronic staffing invoice (regardless of which 2nd tiers actually did the supply) to the End-User to reduce Accounts Payable/Purchase Ledger bureaucracy and cross-checking, the system also allows the 2nd tiers to “group” their timesheets into self-billing invoices according to their own accounting needs. This flexibility also helps reduce traditionally burdensome reconciliation tasks at their end.

Our electronic timesheet processes are simple and efficient with no paper handling (reducing costs and eliminating any risk of them being misplaced). Pre-set templates, configurable options & data validation checks throughout the system all ensure speed and accuracy, reducing data entry and the potential for user errors (the system takes care of the maths for you). Negotiated rates are managed by the “Lead agency” and price up timesheets accordingly.

Whilst “right-first-time” is the watchword of the system design, there is also a realistic approach to errors. Error correction and disputes management are simple and highly visible. Therefore, a major relief to those used to having such disputes lost in the non-core elements of such systems.

Cash management too is an open and traceable process. The concern of many 2nd tiers of unknown approval and payment dates is removed by the trackability built into Concerto. Payment dates become predictable and visible, enabling cashflow management surprises to be eliminated. This can be managed by the lead agency or outsourced to Back Office (as financial service specialists) to run for them. The choice is yours.

Fees for using Concerto (as an IT platform) and/or for cash management are based upon a % of End-User invoice revenues. Thus, they are usage based variable costs, not fixed costs. Moreover, the system has the ability for a lead agency to recover them too, from either the End-User and/or the 2nd tier by passing any proportion of them onto those parties’ invoices.
